JEduManage is priced per tenant — not per student, not per teacher, not per parent login. Every module on the features page is in the standard licence. Talk to us for a quote that matches your school's actual size.

We don't publish a tier sheet on this page, and we want to be honest about why. A school of 500 students with two office staff and a single SMS template a week is a fundamentally different workload from a school of 5,000 students sending daily absentee SMS to every parent. A public price would either overcharge the small school or underprice the large one — neither outcome is good for the relationship. Fifteen minutes on a call gets to a number that's accurate for your school, with no negotiating theatre on either side.

How we price

The licence is per school — one tenant, one annual (or monthly) fee. Within that tenant, every role you'd expect in a school is included: super-admin, school admin, principal, teachers (class teachers and subject teachers), accountants, parents, and students. We don't add a charge for each parent who registers, each teacher you hire mid-year, or each new student you admit during the academic year. The school grows; the licence doesn't suddenly cost more in October because three more families joined.

The reason we ask for a short conversation before quoting is that schools vary by an order of magnitude in scale. The infrastructure we provision, the SMS volume we anticipate, the onboarding attention an implementation needs — all of these scale with the size and complexity of the school. We use a small number of bands (rough student-count tiers, whether the school runs one or two shifts, whether it's a single school or a trust portfolio) to arrive at a price that lands in the right place on the first try.

Everything in /features is in the standard tenant

We don't sell modules separately. The list on the features page — admissions, attendance, exams and grading, fees, SMS communications, parent and teacher portals, bus routes, branding, audit log, role-based access control — is what every JEduManage tenant ships with on day one. There is no "fee module add-on", no "premium parent portal", no "SMS gateway upgrade". The product is designed to be used as a whole; pricing reflects that.

This is a deliberate choice. The schools we've worked with were burned in the past by ERP vendors who quoted a low base price and then revealed that every interesting feature — report cards, SMS, parent app, online fee payment — was a separate licence. Two years in, the bill had quietly tripled. We'd rather show you the full price for the full product up front and let you decide if it's worth it.

No setup fees

Tenant provisioning, school logo and branding setup, initial student and staff import assistance, fee structure configuration help, SMS template registration support, and admin training are all part of the standard onboarding. We don't price them as a separate implementation engagement because, frankly, they don't take that long — most schools are running the day-to-day flows within a week — and we'd rather not load the first invoice with a fee that discourages you from getting started.

What's included in the licence

Every JEduManage licence, regardless of school size, covers the following as part of the ongoing fee — not as add-ons:

  • Hosted SaaS infrastructure — no servers for the school to buy, patch, or back up; we run the application, the database, and the file storage
  • Daily encrypted database backups with point-in-time recovery on the supported window
  • Security patches, dependency upgrades, and platform-level monitoring — the school inherits security improvements without scheduling a maintenance window
  • Feature updates as they ship — new modules and improvements roll out to every tenant on the same release; we do not gate enhancements behind a higher tier
  • MSG91 SMS provider integration — credentials are plugged into the tenant and managed through the admin UI; you do not write any code
  • Support over email and call for the school admin and principal, with escalation paths during exam season and fee-collection windows when the stakes are highest
  • The full audit log — every administrative action recorded and queryable, with no retention cliff inside the contract year

What that translates to in practice: a school running JEduManage doesn't need an in-house IT team to keep the system running. The school admin manages the school's data and templates; we manage the platform underneath.

SMS is billed separately and transparently

The one thing that is genuinely not bundled into the licence is SMS delivery cost. We use MSG91 as the DLT-compliant SMS gateway, and messages are billed by MSG91 at their published per-SMS rates. There are two ways to handle this billing:

  • Billed through JEduManage — we resell MSG91 SMS at the same rate MSG91 charges us, top up the school's SMS pool from your prepaid bundle, and itemise the SMS spend on the same invoice as the software licence. Most schools choose this because it consolidates the paperwork.
  • Billed directly to the school — the school holds its own MSG91 account and DLT registration; we plug the credentials into the tenant; MSG91 invoices the school for SMS while JEduManage invoices for the software. This works well for trusts that already have an existing MSG91 relationship.

Either way, the software cost is fixed and predictable, the SMS cost is the actual cost of messages sent, and an unusually heavy campaign month (exam result announcements, for instance) shows up as a clearly attributable line item — not a surprise inside the licence fee.

Trust and multi-school discounts

Trusts and groups running several schools on the JEduManage platform get a meaningful per-school discount as the portfolio grows. The reasoning is genuine: once the platform tenant family is set up and the first school is live, each additional school is a tenant spin-up rather than a fresh implementation. Onboarding time per school drops; support load per school drops; SMS provider setup is shared. We pass that economy through, both as a discount on the per-school fee and as a single platform-admin dashboard across the portfolio at no additional charge.

Hosted SaaS — no on-prem option

JEduManage is a hosted SaaS product. We do not offer an on-premise install, and that is a deliberate decision. Running a school ERP on a server in the school's office means the school has to own backups, security patching, uptime, database performance, certificate renewals, and disaster recovery — none of which is what a school administration team is hired to do. The hosted model keeps those problems on our side of the boundary, where we have the tooling to handle them well, and keeps the school's bill predictable: no hardware refresh cycle, no surprise SSL expirations, no DBA on retainer.

Annual or monthly billing

Most schools choose annual billing because it lines up with the academic year and the school's own budgeting cycle — one invoice at the start of the year, one number to plan around. We also support monthly billing for schools that prefer to match the expense to a monthly operating cadence, typically newer schools or schools still firming up their fee collection rhythms. There's a small premium on monthly billing to cover the administrative overhead, but no lock-in: you can move from monthly to annual at any renewal, or switch back if your circumstances change.

The free demo tenant

Before any contract conversation, we want you to see the product running with your school's name on it. When you reach out, we spin up a free demo tenant — usually the same day — with your school logo and branding, a sample student cohort, sample fee structures, sample bus routes, and full access to every module. You can admit a student end-to-end, mark a day's attendance, generate a fee invoice, run a test SMS campaign, and open the parent portal as a fictional parent — all without commitment and without a salesperson watching over your shoulder.

The demo tenant has only one safety rail: outbound SMS routes through a test mode by default so you can preview templates without spending live SMS credit. When you want to test a real send to a phone, we flip the switch.

How a quote conversation goes

Concretely, a first call lasts about fifteen minutes and covers a short list of things:

  • Approximate student count today and the count you expect to grow to over the next academic year
  • Number of staff who will hold admin or principal roles (this drives the support shape, not the licence count)
  • Whether the school runs a single shift or split morning/evening shifts
  • Whether this is a single school or one of several under a trust
  • Rough SMS volume — daily absentee SMS to all parents is heavier than ad-hoc fee reminders, and we want to estimate the SMS budget honestly
  • Existing data shape — what's coming out of the current system or paper register, and what import we'll do on day one
  • Preferred billing cadence — annual or monthly — and the school's financial year start, so the contract dates line up with your own books

By the end of that call you'll have a number for the licence, a separate honest estimate for SMS, a target go-live date, and a link to the demo tenant if we haven't already shared one. If you want to move ahead, we send the contract; if you want to think about it, the demo tenant stays available while you do.

Why we believe this model is fair

The classic school management software vendor playbook in this market is a low advertised price that grows by module, by user, by report, and by support tier until the renewal arrives at three or four times the original quote. Schools end up paying for features they don't use and capped out of features they need. We designed pricing the other way around: one number for one product that does the whole job, SMS billed at cost, no per-seat surprises, no module unlocks. Predictable for the school, fair for us, and easy to defend at the next budget meeting.

Pricing questions schools ask

Is JEduManage priced per student or per school?
Per school. One tenant, one licence — admins, the principal, every teacher, every parent, and every student all sit under the same school's account at no additional per-seat cost. We size the quote by the school's rough scale (student count band, number of staff portals, expected SMS volume), but you never get charged again because a parent logged in or because you added a teacher mid-term.
Are there setup fees?
No. Onboarding, tenant provisioning, branding setup, initial data import help, and admin training are all included. We'd rather you start using the product the same week than recover a fixed setup fee that makes the first invoice look heavier than the actual annual cost.
Do you charge for SMS?
SMS is a separate, transparent line item. JEduManage uses MSG91 as the DLT-compliant SMS provider; you pay MSG91's per-SMS rate for messages that actually go out. Two billing paths exist: we can resell MSG91 to you at the same rates and invoice it on the JEduManage invoice, or the school can hold its own MSG91 account and we plug the credentials into the tenant. What's the contract length?
We offer annual billing (a single invoice for the academic year) or monthly billing for schools that prefer it. Annual billing is the most common because it lines up with the school's own budget cycle. There is no multi-year lock-in; if a school renews, it renews on the terms agreed for that year.
Can we get a discount as a trust running several schools?

Yes. We spin up a free demo tenant for any school that asks — usually the same day. It has your school's name and logo, a sample cohort of students, fee structures, and bus routes pre-populated, and full access to every module so you can take a real workflow (admit a student, mark attendance, generate a fee invoice, send a test SMS) end-to-end. The demo tenant runs for as long as you need to evaluate; if you decide to go ahead, we keep the tenant and move it to a live billing relationship.
What does the demo include?
